Can a witness be recorded when administering medication?

Learn how to set witness requirements, record a witness during medication administration, and view witness information in iAM Medical.

The iAM Medical feature allows you to record a witness when administering medication to a student, helping your school follow its medication administration policies and procedures.

When adding a medication, you can choose whether a witness is required. This setting determines whether recording a witness is mandatory or optional each time the medication is administered.

This applies to both scheduled and ad hoc medication administrations.

How do I set up a witness requirement?

When adding a medication to a student's short-term or long-term medical condition, you'll see a Witness Required option

You can select:

Yes: A witness must be recorded each time the medication is administered.

No: A witness is not required, but you can still record one if a witness is present.

This allows you to manage different medication requirements in line with your school's policies, including where additional witnessing procedures are required for certain medications.

How do I record a witness when administering medication?

When recording a medication administration, you'll see a field labelled Who witnessed administration of this medication?

Depending on the medication's settings:

If Witness Required is set to Yes: You must select or record a witness before completing the administration.

If Witness Required is set to No: The witness field is optional and can be completed if appropriate.

Please note: The person recorded as administering the medication cannot also be recorded as the witness. These must be two different users.

The same process applies whether you're recording an administration from an existing medication schedule or adding an ad hoc administration.

Where can I view witness information?

Once an administration has been recorded, any witness information will be saved as part of the medication administration record.

When viewing administration details, you'll be able to see:

The medication administered.

The date and time of administration.

Who administered the medication.

Whether a witness was recorded.

Who witnessed the administration, where applicable.

This provides a clear record of medication administrations and any associated witnesses for future reference.

Will the witness receive a notification?

Yes. Where a witness has been recorded, an email notification will automatically be sent to the person identified as the witness.

The notification will include relevant administration details so they are aware that they have been recorded as witnessing the medication administration.

Do all medications require a witness?

No. Witness requirements can vary depending on the medication and your school's own policies.

The Witness Required setting allows you to decide which medications need a witness while retaining the flexibility to record a witness for other medications where appropriate.

We recommend reviewing your school's medication administration policies and procedures when configuring these settings to ensure they reflect your organisation's requirements.
